Working Pattern: This is a permanent position working 26 hours per week, 42 weeks per year.

The Harbour Schools Partnership is seeking a proactive and well‑organised Administrative Assistant to join our Harbour Support Services team. This is an excellent opportunity for someone who is enthusiastic, detail‑focused, and committed to providing high‑quality administrative support across a busy Multi Academy Trust.

About the Role

Working closely with the Estates Leader and the wider Estates Team, you will play a key role in ensuring effective coordination and delivery of estates, facilities, health & safety, and capital works across our schools. You will also provide general administrative support to the Trust’s central operations.

This position is a home-based role but you’ll enjoy a balance of remote working and occasional travel for key meetings with schools and the HSS team, making this an ideal opportunity for those seeking flexibility without compromising on impact.

Your work will help maintain statutory compliance, support contractor management, and keep communication flowing smoothly between schools, contractors, and the Trust.

Key Responsibilities

Estates Administration

  • Provide comprehensive administrative support to the Estates Team.
  • Maintain accurate filing systems, document control, and central statutory compliance records.
  • Carry out due diligence checks on premises‑related suppliers and maintain SCR records.
  • Ensure contractors provide all required documentation to demonstrate safe working practices.
  • Update asset registers and premises records.
  • Liaise with contractors and schools to coordinate access, scheduling, and work during term time and holidays.
  • Work with Finance to raise purchase orders.
  • Support consistent communication across the Trust regarding estates procedures and updates.
  • Assist with reviewing and updating policies, procedures, and guidance documents.

General Trust Administration

  • Monitor the "more info" inbox and direct enquiries appropriately.
  • Collate and distribute the weekly internal newsletter.
  • Carry out initial checks on Governors.

About You

We are looking for someone who is:

  • Experienced in administrative work.
  • Well‑organised, able to multi‑task, and confident working both independently and as part of a team.
  • A strong communicator across email, phone, and in‑person interactions.
  • Self‑motivated, reliable, and able to plan ahead while managing competing demands.
  • ICT‑confident, with good skills in email, digital communication, and general IT.
  • Educated to GCSE Level (Grade C/4 or above) in English and Maths.

Desirable attributes include:

  • A proactive, “have a go” attitude.
  • NVQ Level 3 in Business Administration (or equivalent).
  • Willingness to learn and develop new skills.

This role requires an enhanced DBS disclosure.
